Office Receptionist

Location: AJ Insurance Office – New Westminster, BC

Position Type: Full-Time

Job Overview:
We are seeking a professional, friendly, and organized Receptionist to be the face of our office. As the first point of contact for clients, visitors, and team members, you will play a key role in creating a welcoming atmosphere and ensuring the smooth operation of daily office activities.

  • Telephone and Front Desk Management:
    • Answer and direct telephone calls to the appropriate employees or brokers.
    • Greet and assist visitors, clients, and brokers in a friendly and professional manner.
    • Handle over-the-counter inquiries, both in person and by phone.
  • Administrative Support:
    • Assist employees and brokers with administrative needs, such as photocopying and faxing.
    • Record and update daily production reports accurately and efficiently.
    • Ensure that all documents for distribution through mail, courier, or other methods are properly prepared and ready for pickup.
  • Meeting Coordination:
    • Monitor participant attendance for scheduled meetings, including confirmation and cancellations.
    • Maintain accurate records of meeting schedules and follow up as necessary.
  • Marketing and Communication Support:
    • Circulate various marketing campaigns through social media platforms and other channels as directed.
    • Provide timely information to brokers regarding the availability of requested policy copies.
  • Inventory and Supplies Management:
    • Assist in receiving and logging the company’s procured supplies and other office necessities.
    • Ensure that office supplies are adequately stocked and assist in coordinating replenishments when required.
  • Other Duties:
    • Perform other related functions as assigned from time to time to support the team and ensure smooth office operations.

Qualifications:

  • Previous experience as a receptionist or in a similar customer-facing role is preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in [list relevant software, e.g., Microsoft Office Suite, email management tools].
  • Friendly, professional demeanor with a focus on providing exceptional service.
